Reject a Specimen

If a physical specimen is assessed as non‑viable upon receipt, it may be rejected by the user. When this occurs, the system archives it in the Specimen Rejected state under the default workflow.

Note: Under the default workflow, a specimen can only be rejected when in the Specimen Received state, as this signifies that no work has yet been carried out.  If a specimen is already in the Pending Arrival state at the point of receipt, rejection can instead be performed as part of the ACK Receipt action.

Step 1

Select the Specimens option from the main menu.

Note: The visibility of main menu options is determined by menu permissions. For more information about configuring menu permissions, see: Understanding menu permissions.

Step 2

Assuming the current role has the corresponding event permission(s) (see Understanding Event Permissions), the Reject Specimen action is available both from the specimen row within the specimen list-view, and from within the specimen record-view, if displayed.

Select the Overflow icon (“…”) for the specimen row corresponding to the specimen that is to be rejected.

Step 3

Select Reject Specimen and the corresponding form will appear.

In this default form, the following information can be provided, with the first two fields mandated:

  • Specimen Condition:  Update the condition registered on specimen creation or acknowledgement, if different.
  • Standard Rejection Comment:  Select from a number of pre-defined reasons for rejection.
  • Free Text Rejection Comment:  Optionally add alternative or supplementary information regarding the reason for specimen rejection.

Step 4

Select Save to register the specimen rejection action and associated information.  The form will disappear and, under the default workflow, the specimen state will be updated to Specimen Rejected, as shown below (if the form was invoked from the specimen list-view).

Note: When a specimen’s state changes as a result of saving a form, it will temporarily appear in the specimen list view, even if it does not match the current state filter. This ensures the user can immediately verify the updated state. After the list is refreshed, or if any filter settings are modified, the filters will be applied normally, which may cause the specimen to no longer appear in the list.

As Specimen Rejected is a “terminal state”, meaning that the specimen will no longer be worked on, it is moved from the active specimen list-view to the Specimen Archive (see ??????).
